The School of Graduate Studies serves about 1,400 and offers doctoral degree programs in Applied Physics, Food Science, Plant/Soil Science and Reading/Literacy.
Job Description:
Alabama A&M University (AAMU) seeks an Executive Director of University Events responsible for overseeing the development, creation, negotiation and execution of a core portfolio of recurring high-profile, high impact small and large-scale events and concepts as designated by the Office of the President and the Office of Marketing, Communications and Advancement including though not limited to the Magic City Classic, Commencement, Homecoming, Building Dedications, Galas, VIP Events, etc. This individual will be responsible for creating and implementing the event and experiences strategy for AAMU. This position will interact with all levels across the organization to gain alignment and support for the effective implementation and long-term sustainability of the event strategies. Additionally, this position will develop and maintain strong relationships with external stakeholders and potential clients to identify new partnerships at the AAMU Event Center.Essential Duties and ResponsibilitiesEvent Management:

  • Develop framework for Standard Operating Procedures for activities and events regarding systems for logistics, vendors, protocol, VIPS, sponsorships, registration, contracts, catering, facility rentals, etc.
  • Coordinate all event-related communications regarding logistics, when applicable to internal and external stakeholders
  • Provide leadership, performance management and supervisory support to designated campus outlets by monitoring progress and measuring of success of events
  • Functions as a resource to provide expertise and guidance in planning and implementing events hosted by individual departments, divisions,schoolsand colleges.
  • Collaborates with university leadership on selected events to provide guidance in achieving event goals and to ensure that the events are carried out in a manner that is consistent with the university's standards.
  • Provides event, academic, university, diplomatic, and international protocol guidance and implementation.
  • Serves as the campus resource on developing and maintaining event standards and protocols including social and event etiquette for all aspects of events
  • Work closely with facilities, events staff, and external community partners to ensure all documentation (contracts, forms, etc.) are accurate, complete and authorized.
  • Oversee event logistics including contracts and process for venues, caterers, speakers, audiovisual and production equipment, decor, and promotional materials
  • Serve as primary booking agent responsible for sales and marketing of designated university venues for public rentals
  • Develop and maintain effective relationships with a wide variety of event industry decision-makersStrategic Planning:
    • Lead quality assurance efforts by analyzing, measuring, and reporting of event activities, including but limited to collecting data to report relevant event data identified for performance enhancement and quality improvement purposes.
    • Creates and provides event summaries to determine best practices for improvements
    • Analyze, and monitor risk management (technology failures, weather challenges, medical emergencies, crowd management, etc.) policy and procedures related to events.
    • Responsible for setting strategic goals for operational efficiency and productivity, taking into account university-wide initiatives, staffing, and budgetary needs by conducting extensive process analysis and facilitating interdepartmental collaboration that leads to the successful implementation of eventsFiscal Management:
      • Develops, manages and oversees event budgets by collaborating and leading cross-functional teams of internal and external stakeholders
        Requirements:
        • Master's degree in event management, communications or other related field and ten (10) years' experience in large-scale event planning, coordination, leadership, management, and implementation
        • Knowledge of higher education, event planning, hospitality and tourism industries
        • Experience managing and directing city-wide events, large-capacity event spaces and VIP protocols
