Overview

Lighthouse Institute, a division of Chestnut Health Systems, is seeking a full-time Project Associate for our Normal, IL location.

Chestnut Health Systems is a leading provider of behavioral and primary health care services. Over four decades, Chestnut has grown to over 700 committed, compassionate employees providing substance use, mental health and primary care treatment to patients in Central and Southern Illinois. We provide fully integrated care for all of our patients by combining behavioral health care services with our community-based primary care health centers. Chestnut also conducts research and training throughout the U.S.A.

Responsibilities

Develop and maintain project databases as required including GAIN training wait list, GAIN license files, and Data Sharing Agreement files. Assign GAIN license numbers and coordinate with clients and APS Master Administration File manager to obtain ABS license number and keep all records current. Create databases as required by project.
Perform technical editing and writing for papers, professional presentations, proposals, administrative reports, the GAIN Administration manual and various paperwork and documents as required. Write and maintain GAIN-I and GAIN-Q FAQ files.
Conduct internet searches to obtain information such as style sheets, author guideline, RFA guidelines and hotel and travel information as required.
Material preparation – Assist project staff in producing, reproducing, compiling and assembling materials for project reports, meetings and trainings.
Project/office file management – Assist principal investigators with developing and organizing of project and contract files. Maintain original files and contracts and distribute copies as needed.
Organize, manage, and coordinate logistics and registration for National GAIN trainings and major meetings including but not limited to: negotiating and securing contract for conference space; arranging for CEUs catering and AV; working with GAIN Coordinating Center (GCC) staff and trainers to coordinate timelines, equipment and documents; registering participants; creating and distributing communications and documents; invoicing participants; arranging travel and lodging for external trainers; and processing trainer payments.
Cross-train GCC staff to perform training logistics.
Occasionally travel to support the activities of project or other project meetings and trainings and/or willingness and commitment to work after hours to meet key project deadlines.
Promote Chestnut’s culture of customer service excellence through the adherence to Chestnut’s behavioral standards for customer service.

Qualifications

Master’s degree in social sciences or Bachelor’s degree with research experience.
Demonstrated strong research, meeting planning, organizational, and interpersonal skills.
Preference will be given to those with technical editing, writing and Microsoft software programs experience.
Satisfactory completion of Chestnut’s background checking process.
